Administrative Assistant

This position provides administrative and secretarial support for our office located in Bechtelsville, PA.? The Administrative Assistant will deal with a diverse group of important external callers and visitors as well as internal contacts.? He or she will handle a variety of administrative duties and the successful candidate will be an organized individual with the ability to plan, prioritize their workload and proactively seek out assignments.

Essential Functions:

  • Answering the phones ? directs calls as appropriate, takes messages, fields routine calls and questions
  • Receptionist duties
  • Sort and distribute mail.? Draft written responses or replies by phone or e-mail when necessary/requested.? Respond to regularly occurring requests for information.
  • Generate shipping documents
  • Purchasing
  • Basic accounting duties (accounts payable/accounts receivable ? including billing duties such as generating invoices, invoicing, tracking serial numbers, etc.).
  • Type and designs general correspondences, memos, charts, tables, graphs, business plans, etc.? Proofreads copy for spelling, grammar and layout, making appropriate changes.
  • Maintain and update filing system for the office.? Retrieve information when needed.
  • Light office cleaning duties (shared amongst entire office)
  • Related administrative duties as assigned

Required Education and Experience
In addition to the competencies listed above, the ideal candidate must:

  • Be proficient in Microsoft Word,?Excel and Outlook.
  • Have a high school diploma or the equivalent.
  • Have a minimum of one year of administrative experience.
  • Have the ability to read, write and speak English fluently.

Preferred, but not required

  • Working knowledge of QuickBooks
  • Experience using UPS and FedEx shipping software
  • Working Knowledge of Word Perfect and Access

Work Environment

  • This job operates in a small, but professional office environment located in a scenic, country setting. This role routinely uses standard office equipment such as computers (Windows based), phones, photocopiers, filing cabinets and fax machines.? Dress code is business casual.

Position Type and Expected Hours of Work

  • This is a part-time position. Days and hours of work are Monday through Friday and the preferred hours are from 9 a.m. to 3 p.m.

Travel

  • No travel is expected for this position.
